COVID-19 Summer Camp FAQ

Is summer camp going ahead?

 
We are continuing to eagerly look forward to summer camp in 2021.
 
We are planning to run a shortened Summer Camp season in August 2021! We will be running 4 camp sessions each at the Ranch and the Lodge. There will be opportunities for kids of all ages to join us once again at Pioneer camp and we are so excited!

Which Camps have NOT been cancelled?

 
The following sessions are running this summer in August! Please note that ALL dates have changed for the following sessions. See our Dates & Rates page for new dates and rates.
  • Horsemanship 1 – LODGE
  • Discovery 1 – LODGE
  • Jr. Boys – LODGE
  • Jr. Girls – LODGE
  • Sr. Boys – RANCH

Which Camps have been cancelled?

 
The following sessions have been cancelled for the 2021 season:
  • Day Camp – July 7-9, 2021 – LODGE
  • Quest – August 1-6, 2021 – LODGE
  • Horsemanship 2 – August 22-27, 2021 – LODGE
  • Breakaway – July 4-9, 2021 – RANCH
 

I’ve already signed up for camp, how do I let you know what I want to do with my son’s/daughter’s registration?

 
Our goal is to make this transition as easy as possible. All you need to do is follow the link that was sent to you via email on June 1, 2021 and it will take you to a Google Form that will allow you to let us know whether these changes work for you and if your camper will be able to attend.
 
Please fill out and submit the form by JUNE 10, 2021.
 
We will send all the regular information such as packing lists, arrival & departure details, as well as our COVID protocols closer to the start of each camp.

What happens to my outstanding fees?

 
Fees for those campers remaining in the new dates for camps will be processed on July 1 to allow us to keep abreast of any COVID regulations/restrictions. Any remaining balance will be processed to the credit card we have on file.
 

What if the changes do not work for me?

 
We know that these changes will not work for everyone, and we are sorry about that. If you are not able to make camp work with the new changes, then simply let us know through the form that was sent to you on June 1. The form also indicates refund options.

What are my refund options?

 
If your son/daughter is now unable to attend camp, there are three refund options:
  1. Defer your current deposit for the 2022 Camping Season.
  2. Transfer your current deposit to be processed as a tax-deductible donation.
  3. Receive the deposit as a refund to the credit card it was processed on.
 

What are you doing to ensure camper safety?

 
We know that you put your trust in us when you send your child to camp. Safety and staff training has always been a priority for us, but in 2021, they take on a new dimension. We will be following all precautions and guidelines that government and health authorities set for us. Over the past year, we have also reviewed our site and programs and will be implementing appropriate protocols that meet or exceed public health requirements.
 
If you have any questions about registering your child for camp this summer, please do not hesitate to give us a call at 403.638.2660. We want to ensure that you are as comfortable sending your child to camp as we are in welcoming them.
 

What is the cancellation policy?

 
1. If camp capacity numbers are reduced due to Government COVID restrictions, and camp has to reduce enrolment in registration:
 
Priority registrations will be given by date of registration; those who have registered first will retain their session of preference. Once we have reached our weekly capacity for camper/staff onsite, a waitlist will be set up and the applicant will be placed on it. If there are sessions that are not full and that the applicant is eligible to attend, your registration can be moved to one of those sessions.
 
2. In the event a camp session is cancelled due to a COVID outbreak, there are government mandates to shut down camp for all or part of the season, or due to any other reason, the camp will issue a refund for the value of the fees of the unexpired term.
 
3. If parent/guardian/participant chooses to withdraw their camp registration, regular cancellation policies will be in effect:
 
Day Camp Cancellation Policy: If you cancel more than two weeks prior to the start of camp, you will receive a full refund less a $30/session administration fee.
 
Family Camp Cancellation Policy: If you cancel more than two weeks prior to the start of camp, you will receive a full refund less a $50/person/session administration fee.
 
Overnight Camp Cancellation Policy: If you cancel more than two weeks prior to the start of camp, you will receive a full refund less a $75/session administration fee.
 
All Camps: If a cancellation occurs after the cut-off dates listed above, you will get NO REFUND except for medical reasons with a note from a doctor. In that case, you will get a full refund less the administration fee. No refund will be made for dismissals due to disciplinary action, late arrivals or early departures. If a participant is unwell while at camp and it is determined that withdrawal from camp is required, the camp will credit the family the value of fees for the unexpired term. Please contact camp office for cancellation details for out-trips and/or transportation fees.
 
If a participant is unwell with COVID, the following will apply: The participant may return when symptoms are gone, a COVID test is negative, and depending on availability, the family can use their credit to rebook the participant in an alternate session. If this is not possible, the camp will issue a refund for the value of the unexpired term.
 

Are you renting out your cabins to families?

 
Yes! We do have cabin rental opportunities available for families at our Pioneer Lodge, Sundre and Pioneer Ranch, Rocky Mountain House sites. Visit our page for more information.
